What is FORS?

The Fleet Operator Recognition Scheme (FORS) is an accreditation initiative aimed at raising standards in fleet safety, efficiency, and environmental responsibility. FORS provides best practice guidelines and certification, helping operators improve compliance, public reputation, and overall performance.

Problems

FORS’s legacy system had significant limitations:
• Manual, Inefficient Processes: High reliance on manual tasks led to delays and higher error rates, complicating the accreditation process.
• Insufficient Data Tools: Limited reporting and visualisation capabilities made it hard for FORS and users to track performance effectively.
• Scalability Concerns: The system struggled to support a growing user base, raising questions about its long-term viability.

Goals

Our digital transformation project focused on:
• Streamlining Processes: Automating workflows to increase efficiency, reduce errors, and speed up accreditation.
• Enabling Data Insights: Implementing reporting tools for real-time performance tracking.
• Supporting Growth: Developing a scalable platform to sustain FORS’s expanding user base and evolving needs.

• Worked with clients and business analysts to map complex and inefficient workflows and processes and digitally transformed, improving user experience and reducing operational time and costs.
• Designed the new registration process, making it more accessible, reducing task completion time, and enhancing overall user experience.
• Designed a digital dashboard for managing audits, communication, and payments, reducing operational time and costs.
• Created a design system in Figma and collaborated with developers for its implementation.

Transforming, digitalising, improving key tasks and processes
I worked with business analysts and stakeholders to understand and improve the user journeys. We documented both the “as-is” and “to-be” user flows. This analysis allowed us to pinpoint pain points and inefficiencies within the existing system, providing a clear baseline. By defining the “to-be” flows, we outlined an optimised path for users, focusing on streamlined interactions, reduced steps, and enhanced accessibility, all aligned with FORS’s digital transformation goals.
Putting proposed solutions to the test, early on.
I developed low-fidelity wireframes and user flows to visualise and validate the new design concepts early in the process. These wireframes provided a foundation to explore feasibility, layout, navigation, and functionality, enabling stakeholders and users to give feedback before full development.
Building a design system to be used across different touchpoints
I built an atomic design system with variants in Figma that ensured consistency across the platform, reinforced FORS’s brand identity, and enabled rapid development through reusable components. This modular structure allowed for efficient scaling as the platform grew, streamlined collaboration between designers and developers, and facilitated quicker prototyping.
Delivering high-fidelity UI designs ready for development
I worked closely with developers to create and deliver high-fidelity responsive UI designs for the registration, onboarding, and dashboard pages.
